Job Description

We are seeking an experienced and highly organized WFH Legal Secretary to join our fully remote team. This is a unique opportunity to contribute to a dynamic legal practice without the need for daily commuting. The ideal candidate will provide comprehensive administrative and secretarial support to our legal professionals, ensuring the efficient operation of their practices. You will manage correspondence, prepare legal documents, and maintain electronic filing systems, all while working from the comfort of your home office. This role requires exceptional attention to detail, strong communication skills, and the ability to thrive in a remote work setting.

Key Responsibilities

  • Prepare, proofread, and format legal documents, correspondence, and presentations with precision and accuracy.
  • Manage and organize electronic filing systems, ensuring all documents are readily accessible and compliant.
  • Coordinate diaries, schedule appointments, and arrange virtual meetings for legal professionals.
  • Handle incoming calls and emails, redirecting inquiries as appropriate and maintaining professional client communication.
  • Assist with billing processes, time entry, and expense reports.
  • Conduct basic legal research and gather relevant information as directed.
  • Maintain strict confidentiality regarding all firm and client matters.
  • Support multiple legal professionals concurrently, managing diverse workloads and priorities.
  • Utilize legal practice management software and Microsoft Office Suite effectively.
  • Facilitate seamless communication between legal teams, clients, and external parties.

Required Skills

  • Minimum of 2 years of experience as a Legal Secretary or in a similar administrative role within a law firm.
  • Demonstrated proficiency with legal practice management software (e.g., Leap, Actionstep, Clio).
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Impeccable attention to detail and accuracy.
  • Ability to work independently and collaboratively in a fully remote environment.
  • Understanding of legal terminology and court procedures.
  • High level of professionalism and discretion.

Preferred Qualifications

  • Experience supporting multiple practice areas (e.g., Corporate, Property, Litigation).
  • Certificate IV in Legal Services or a related qualification.
  • Familiarity with e-discovery platforms.
  • Experience with cloud-based document management systems.
