Job Description
We are seeking a highly organized and detail-oriented Virtual Inbox Manager to join our 100% remote team. This role is exclusively focused on managing written correspondence, ensuring timely, accurate, and professional communication with our customers and internal stakeholders. You will be responsible for triaging, responding to, and escalating inquiries received through various digital channels, maintaining a high standard of customer service and operational efficiency. This is a crucial role for maintaining our digital presence and ensuring seamless customer interactions.
Key Responsibilities
- Manage and prioritize a high volume of written communications (emails, chat transcripts, social media messages) in a virtual inbox.
- Draft clear, concise, and professional responses to customer inquiries, complaints, and feedback, adhering to brand guidelines and tone of voice.
- Categorize and tag incoming correspondence accurately for reporting and analytics purposes.
- Collaborate effectively with various internal departments (e.g., product, support, sales, compliance) to resolve complex issues and provide comprehensive solutions.
- Maintain comprehensive and meticulous records of all communications and actions taken within our CRM systems.
- Identify recurring trends in customer inquiries and proactively suggest improvements to communication processes, FAQs, or self-service options.
- Adhere to strict compliance, regulatory, and data privacy standards in all interactions.
- Continuously learn and adapt to new products, services, and communication tools offered by ANZ Bank.
Required Skills
- Exceptional written communication, grammar, and proofreading skills in English.
- Proven ability to manage multiple priorities, switch contexts efficiently, and meet deadlines effectively in a remote setting.
- Strong attention to detail and accuracy, ensuring error-free communication.
- Proficiency with email management systems, instant messaging platforms, and CRM software (e.g., Salesforce, Zendesk).
- Ability to work independently with minimal supervision and as an integral part of a geographically dispersed team.
- High level of empathy, patience, and a genuine customer service orientation.
- Strong problem-solving abilities and a proactive approach to issue resolution.
Preferred Qualifications
- Previous experience (1-2 years) in a virtual assistant, customer service, digital communications, or administrative role, preferably within a corporate environment.
- Familiarity with financial services terminology, products (e.g., banking, loans, investments), and regulatory environment.
- Experience using specific customer service platforms such as Zendesk, Salesforce Service Cloud, or similar.
- Tertiary qualification in Communications, Business Administration, Marketing, or a related field.
- Demonstrated ability to maintain confidentiality and handle sensitive information discreetly.
