Job Description
We are seeking a highly organized and customer-focused State Government Receptionist to join our team in Oakland. This pivotal role involves managing the front desk operations for various state departments, providing a welcoming and efficient point of contact for the public, and supporting administrative functions. The ideal candidate will be the first impression of the State Government, offering exceptional service and maintaining a professional atmosphere.
Key Responsibilities
- Greet and welcome visitors to various state department offices, directing them to the appropriate personnel or departments.
- Answer and direct incoming calls on a multi-line phone system, taking messages as needed.
- Manage incoming and outgoing mail and deliveries, including sorting, distributing, and preparing shipments.
- Maintain a tidy and organized reception area, ensuring it is presentable at all times.
- Provide general administrative support, including data entry, filing, scheduling appointments, and preparing documents.
- Assist with visitor registration, security procedures, and issuing visitor passes.
- Handle inquiries from the public and direct them to relevant resources or information.
- Coordinate with different departments to ensure seamless communication and visitor experience.
- Adhere to all state government policies and procedures regarding confidentiality and public interaction.
Required Skills
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Professional demeanor and customer service orientation.
- Ability to work independently and as part of a team.
- High school diploma or equivalent.
