Job Description

We are seeking a highly organised and customer-focused Online Booking Agent with a specialisation in medical and dental appointments to join our team in Hervey Bay. In this essential role, you will be the first point of contact for many of our patients, responsible for managing online booking platforms, responding to inquiries, and ensuring a seamless appointment scheduling experience. You will work closely with our clinic teams to maintain optimal schedules, confirm appointments, and provide accurate information to patients. This role requires exceptional communication skills, attention to detail, and a compassionate approach to patient service.

Key Responsibilities

  • Manage and monitor all online booking inquiries and appointment requests for medical and dental services.
  • Respond promptly and professionally to patient queries via email, chat, and phone regarding appointments, services, and general information.
  • Accurately schedule, reschedule, and cancel appointments using our practice management software.
  • Verify patient details and insurance information as required.
  • Liaise with clinical staff to accommodate urgent appointments and manage schedule changes effectively.
  • Provide patients with pre-appointment instructions and necessary information.
  • Maintain up-to-date knowledge of all services offered and practitioner availability.
  • Assist with administrative tasks as needed to support clinic operations.

Required Skills

  • Proven experience in a customer service or administrative role, ideally within healthcare.
  • Exceptional written and verbal communication skills.
  • Proficiency in using online booking systems and general office software (e.g., Microsoft Office Suite).
  • Strong organisational skills and attention to detail.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Empathetic and patient-focused approach.
  • High level of professionalism and discretion when handling sensitive patient information.

Preferred Qualifications

  • Previous experience with medical or dental practice management software (e.g., Dental4Windows, PracSoft).
  • Familiarity with medical and dental terminology.
  • A certificate or diploma in Medical Administration or a related field.
