Job Description

We are seeking a highly organised and proactive AO4 Project Coordinator to join our dynamic team within the Department of Communities in Gosford. In this crucial role, you will provide comprehensive project support, ensuring the smooth execution of initiatives aimed at enhancing community well-being. You will work closely with project managers, stakeholders, and community partners to coordinate activities, manage resources, and maintain project documentation. This is an excellent opportunity for an individual with strong administrative and organisational skills to contribute to meaningful government projects.

Key Responsibilities

  • Assist Project Managers in the planning, execution, and monitoring of various community-focused projects.
  • Coordinate project activities, schedules, and resources, ensuring alignment with project plans and deadlines.
  • Prepare, review, and maintain project documentation, including project plans, reports, briefs, and minutes.
  • Facilitate communication and collaboration between project team members, stakeholders, and external partners.
  • Track project progress, identify potential risks or issues, and escalate them to the Project Manager as appropriate.
  • Manage project-related administrative tasks, including meeting coordination, record-keeping, and general correspondence.
  • Support the development of presentations, workshops, and other communication materials for project updates and stakeholder engagement.
  • Monitor project budgets and expenditure, assisting with financial reporting and reconciliation.
  • Contribute to continuous improvement initiatives for project management processes and tools.

Required Skills

  • Proven experience in project coordination or a similar administrative support role.
  • Excellent organisational and time management skills, with the ability to manage multiple tasks concurrently.
  • Strong written and verbal communication skills, suitable for diverse audiences.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to work effectively both independently and as part of a team.
  • High level of attention to detail and accuracy.
  • Ability to adapt to changing priorities and work effectively under pressure.

Preferred Qualifications

  • A diploma or degree in Project Management, Business Administration, or a related field.
  • Experience working within a government agency or public sector environment.
  • Familiarity with project management methodologies (e.g., Agile, Waterfall).
  • Understanding of community services or social policy contexts.
