Job Description

We are seeking a highly organised and detail-oriented WFH Tender Coordinator with a strong focus on professional services to join our dynamic team. This is a 100% remote position, offering the flexibility to work from your home office in Port Macquarie. You will be instrumental in supporting our bid management process, ensuring the timely submission of high-quality tenders and proposals for a diverse range of professional services projects. Your role will involve coordinating various internal and external stakeholders, managing documentation, and ensuring compliance with client requirements and internal governance.

Key Responsibilities

  • Coordinate the end-to-end tender and proposal development process for professional services engagements.
  • Manage tender schedules, deadlines, and deliverables, ensuring all stages are completed on time.
  • Collaborate with subject matter experts, legal teams, and senior leadership to gather necessary information and content.
  • Review and edit tender documents for clarity, grammar, consistency, and adherence to brand guidelines.
  • Ensure all tender submissions comply with client specifications and internal quality standards.
  • Maintain an organised repository of tender documents, templates, and reference materials.
  • Facilitate communication and follow-up with all stakeholders throughout the bid lifecycle.
  • Contribute to post-tender analysis and feedback to continuously improve our bid success rate.

Required Skills

  • Minimum 2 years of experience in a bid, tender, or proposal coordination role, preferably within professional services.
  • Exceptional organisational and project management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to manage multiple priorities and work effectively under pressure to meet tight deadlines.
  • High attention to detail and accuracy.
  • Proven ability to collaborate effectively with diverse teams remotely.

Preferred Qualifications

  • Bachelor's degree in Business, Marketing, Communications, or a related field.
  • Experience with CRM or bid management software (e.g., Salesforce, SharePoint).
  • Understanding of complex professional services offerings and client needs.
