Job Description
We are seeking a highly experienced and exceptionally organized Executive Administration Lead to provide comprehensive support to our senior leadership team in Joondalup. This pivotal role demands a proactive approach, impeccable communication skills, and the ability to manage complex administrative tasks with discretion and efficiency. The successful candidate will be instrumental in ensuring the smooth operation of executive functions, contributing significantly to strategic initiatives and overall organizational success.
Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel arrangements for senior executives.
- Prepare, edit, and format confidential documents, presentations, and reports with exceptional attention to detail.
- Coordinate and facilitate executive meetings, including preparing agendas, taking minutes, and tracking action items.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries and correspondence professionally.
- Oversee office administration, including managing supplies, equipment, and vendor relationships relevant to executive support.
- Assist with special projects and initiatives as assigned by the executive team, demonstrating initiative and problem-solving skills.
- Maintain strict confidentiality of all sensitive information and exercise sound judgment in all interactions.
Required Skills
- Minimum of 8 years of experience in an executive administrative or senior support role, preferably within the financial services sector.
- Demonstrated proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) at an advanced level.
- Exceptional organizational and time management skills, with the ability to prioritize effectively in a fast-paced environment.
- Superior written and verbal communication skills, with a keen eye for detail.
- Proven ability to maintain confidentiality and exercise discretion.
- Strong interpersonal skills with the ability to build rapport and work collaboratively with diverse stakeholders.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience with project management software and tools.
- Certification in administrative professional courses or equivalent training.
