Job Description

We are seeking a highly organised and proactive Business Principal Assistant to provide comprehensive administrative and strategic support to our Legal and Finance Principals in our Port Macquarie office. This pivotal role requires an individual with exceptional attention to detail, strong communication skills, and a solid understanding of both legal and financial terminologies and processes. You will be instrumental in ensuring the efficient operation of our principals’ day-to-day activities, managing complex schedules, preparing critical documents, and facilitating key communications. Key Responsibilities

  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements for Legal and Finance Principals.
  • Prepare, edit, and proofread legal documents, financial reports, presentations, and correspondence with high accuracy.
  • Organise and maintain physical and electronic files, ensuring confidentiality and easy retrieval of information.
  • Coordinate internal and external communications, acting as a primary point of contact for principals.
  • Assist with legal research, financial data compilation, and preparation of case summaries or budget reports.
  • Process expenses, invoices, and other financial administrative tasks.
  • Plan and coordinate events, workshops, and client meetings.
  • Proactively anticipate needs and provide solutions to ensure seamless workflow.
  • Handle confidential information with the utmost discretion and professionalism.

Required Skills

  • Minimum of 4 years of administrative or executive assistant experience, preferably within legal or financial services.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organisational and time management abilities, with a proven track record of managing multiple priorities.
  • High level of discretion and ability to handle confidential information.
  • Demonstrated ability to work independently and as part of a team.
  • Understanding of basic legal and financial terminology.

Preferred Qualifications

  • Associate’s degree or higher in Business Administration, Legal Studies, Finance, or a related field.
  • Experience with legal practice management software or financial reporting systems.
  • Previous experience supporting multiple senior-level professionals.
  • Familiarity with Australian business legal and financial regulations.
