Job Description

We are seeking an experienced and highly motivated Bilingual Admin Lead to join our dynamic team in Joondalup, Western Australia. This crucial role involves providing comprehensive administrative and operational support to our multi-national teams and executives, ensuring smooth day-to-day operations and effective communication across different linguistic and cultural backgrounds. The ideal candidate will be a proactive problem-solver with exceptional organizational skills and a proven ability to manage multiple priorities in a fast-paced global environment.

Key Responsibilities

  • Manage and coordinate complex schedules, meetings, and travel arrangements for multi-national executives.
  • Serve as a primary point of contact, handling inquiries and correspondence in multiple languages (English plus one other specified language).
  • Prepare and edit reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
  • Facilitate communication and collaboration between diverse teams located in various international offices.
  • Oversee office supplies, equipment, and general office maintenance to ensure a productive work environment.
  • Organize and execute company events, workshops, and team-building activities.
  • Assist with onboarding new international employees, ensuring a smooth integration process.
  • Handle sensitive information with the utmost confidentiality and discretion.

Required Skills

  • Fluency in English and one additional language (e.g., French, German, Spanish, Mandarin, Japanese) – written and verbal.
  • Proven experience (minimum 4 years) in an administrative or executive assistant role within a multi-national company.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong interpersonal and communication skills, with the ability to interact effectively with diverse stakeholders.
  • Ability to work independently and as part of a team, demonstrating initiative and proactive problem-solving.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, International Relations, or a related field.
  • Experience with project management software or CRM systems.
  • Familiarity with international business protocols and cultural nuances.
  • Certification in administrative professional training.
