Job Description
We are seeking a highly organized and detail-oriented Online File Management Assistant to join our dynamic team. This is a fully remote position, allowing you to work from anywhere within Australia. You will be responsible for maintaining the integrity and accessibility of our digital document repositories, ensuring efficient data retrieval and compliance with internal protocols. This role is crucial for our operational efficiency, requiring a proactive individual with strong administrative skills and a keen eye for detail. You will collaborate with various departments, providing essential support in managing and organizing a vast array of digital files and records.
Key Responsibilities
- Organize, categorize, and archive digital files and documents across various platforms.
- Ensure all files are correctly named, tagged, and stored according to company standards and guidelines.
- Perform regular audits of digital files to identify and correct discrepancies or missing information.
- Assist in the development and implementation of improved file management systems and procedures.
- Provide support to team members regarding file access, retrieval, and sharing protocols.
- Maintain confidentiality and security of sensitive information at all times.
- Collaborate with IT and other departments to troubleshoot file access issues and optimize storage solutions.
- Prepare reports on file management activities and statistics as required.
- Participate in training sessions for new file management software or best practices.
- Respond to requests for document retrieval in a timely and accurate manner.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint)
- Strong organizational and time management skills
- Excellent attention to detail and accuracy
- Ability to work independently and manage multiple tasks effectively
- Strong written and verbal communication skills
- Familiarity with cloud-based storage solutions (e.g., Google Drive, Dropbox)
- Reliable internet connection and a dedicated home office setup
Preferred Qualifications
- Previous experience in a data entry, administrative, or file management role
- Experience with document management systems (DMS)
- Understanding of data privacy and confidentiality regulations
- A certificate or diploma in office administration, information technology, or a related field
