Job Description
We are seeking a highly organized, proactive, and detail-oriented Virtual Administrative Partner to join our boutique firm. This 100% remote role is crucial for ensuring the smooth operation of our administrative functions and providing comprehensive support to our consulting team and clients. The ideal candidate will be a self-starter with excellent communication skills, capable of managing multiple priorities in a fast-paced virtual environment. You will play a pivotal role in maintaining our high standards of client service and operational efficiency.
Key Responsibilities
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and format professional documents, presentations, and reports.
- Handle incoming communications (emails, calls) with professionalism, screening and directing as appropriate.
- Organize and maintain digital filing systems, ensuring accuracy and accessibility.
- Assist with client onboarding processes, including documentation and initial communication.
- Process invoices, expense reports, and other financial administrative tasks.
- Coordinate virtual events, webinars, and team meetings.
- Undertake research tasks to support consulting projects and business development initiatives.
- Act as a primary point of contact for administrative inquiries, both internal and external.
- Proactively identify areas for administrative process improvement and implement solutions.
Required Skills
- Proven experience as a Virtual Assistant, Administrative Partner, or similar role.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Strong written and verbal communication skills.
- High level of attention to detail and accuracy.
- Ability to work independently and collaboratively in a remote team setting.
- Demonstrated problem-solving abilities and a proactive approach.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience with CRM software (e.g., Salesforce, HubSpot).
- Familiarity with project management tools (e.g., Asana, Trello).
- Prior experience working in a boutique firm environment (e.g., legal, financial, consulting).
