Job Description
We are seeking a highly organized, proactive, and detail-oriented WFH Executive Secretary to provide comprehensive administrative support to our senior leadership team within the Professional Services division. This is a 100% remote position, offering the flexibility to work from your home office while maintaining high levels of productivity and collaboration. The ideal candidate will be adept at managing complex schedules, preparing reports, coordinating communications, and handling confidential information with utmost discretion. This role requires exceptional communication skills, a strong ability to multitask, and proficiency in various office software applications.
Key Responsibilities
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate internal and external meetings, ensuring all necessary materials are prepared in advance.
- Handle incoming calls and emails, redirecting as appropriate and responding to inquiries when possible.
- Maintain an organized filing system for important documents and records, both physical and digital.
- Assist in the preparation of reports, financial statements, and presentations.
- Process invoices, expense reports, and other financial documents accurately and promptly.
- Act as a primary point of contact for internal and external stakeholders.
- Support special projects and initiatives as assigned by executives.
- Ensure confidentiality and security of sensitive information.
Required Skills
- Minimum of 3 years of experience as an Executive Secretary or in a similar administrative role.
- Exceptional organizational and time management skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to build rapport with diverse stakeholders.
- Proven ability to handle confidential information with discretion.
- Self-motivated and able to work independently in a remote environment.
- High attention to detail and accuracy.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration or a related field.
- Experience working in a professional services environment (e.g., consulting, accounting, legal).
- Familiarity with virtual collaboration tools (e.g., Microsoft Teams, Zoom).
- Experience with project management software.
