Job Description

We are seeking a highly organised and detail-oriented RFS Admin Assistant to provide crucial administrative support to our Rural Fire Service operations in Wagga Wagga. This role is vital in ensuring the efficient day-to-day functioning of our local branch, assisting our dedicated staff and volunteers. The successful candidate will manage administrative tasks, facilitate communication, maintain records, and support various RFS initiatives. This is an on-site position where you will be an integral part of our local team, contributing directly to public safety and community resilience.

Key Responsibilities

  • Provide comprehensive administrative support to RFS staff and volunteers.
  • Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Maintain accurate records, databases, and filing systems (both digital and physical).
  • Assist with scheduling meetings, appointments, and training sessions.
  • Prepare reports, presentations, and other documents as required.
  • Process invoices, expense claims, and manage petty cash in accordance with financial procedures.
  • Coordinate logistics for events, workshops, and community engagement activities.
  • Order and maintain office supplies and equipment inventory.
  • Act as a point of contact for internal and external enquiries, providing accurate information or directing to appropriate personnel.
  • Support the onboarding of new volunteers and staff with administrative tasks.

Required Skills

  • Proven experience in an administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent organisational and time management skills with the ability to prioritise tasks.
  • Strong written and verbal communication skills.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.

Preferred Qualifications

  • Previous experience working within a government agency or emergency services environment.
  • Familiarity with the operations and structure of the Rural Fire Service.
  • Relevant administrative qualification or certification.
  • Experience using record management systems.
