Job Description

We are seeking a highly organized and detail-oriented Remote Inbox Assistant to provide dedicated support to our busy professionals. This fully remote role involves managing email inboxes, scheduling appointments, organizing communications, and ensuring seamless administrative flow. The ideal candidate will be proactive, possess excellent communication skills, and be able to work independently to manage multiple priorities efficiently.

Key Responsibilities

  • Manage and prioritize incoming emails, drafting responses and flagging urgent items.
  • Schedule and coordinate meetings, appointments, and virtual events, including sending invitations and managing RSVPs.
  • Organize and maintain digital files and documents within email platforms and cloud storage.
  • Filter spam and irrelevant communications to optimize professional's inbox efficiency.
  • Prepare summaries of email conversations and action items.
  • Assist with basic data entry and administrative tasks as required.
  • Maintain confidentiality and discretion regarding all professional communications and information.
  • Proactively identify opportunities to improve inbox management processes.

Required Skills

  • Exceptional organizational skills and attention to detail
  • Proficiency with email platforms (e.g., Microsoft Outlook, Google Workspace)
  • Strong written and verbal communication skills
  • Ability to work independently and manage time effectively in a remote setting
  • High level of discretion and professionalism
  • Basic understanding of calendaring and scheduling tools

Preferred Qualifications

  • Previous experience as a virtual assistant, administrative assistant, or executive assistant
  • Familiarity with project management tools (e.g., Asana, Trello)
  • Experience supporting multiple professionals or executives simultaneously
  • A tertiary qualification in Business Administration or a related field
