Job Description
We are seeking a dedicated and organized Defence Force Recruiting Assistant to join our team in Geelong. This civilian role is pivotal in supporting our recruiters and ensuring a smooth, efficient recruitment process for prospective ADF candidates. You will be the first point of contact for many applicants, providing crucial administrative support, managing inquiries, and assisting with various aspects of the candidate journey. This is an excellent opportunity to contribute to national security in a supportive, professional environment without being a uniformed member.
Key Responsibilities
- Provide administrative support to the recruiting team, including scheduling appointments, managing diaries, and preparing documentation.
- Act as the primary point of contact for candidate inquiries via phone, email, and in-person, providing accurate information and directing them appropriately.
- Assist candidates with application forms and ensure all necessary paperwork is completed accurately and submitted on time.
- Maintain and update candidate databases with precision and confidentiality.
- Coordinate and prepare materials for information sessions and recruitment events.
- Assist with the logistical arrangements for candidate assessments and interviews.
- Perform general office duties such as filing, photocopying, and managing office supplies.
Required Skills
- Proven administrative or office support experience.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with attention to detail.
- Ability to handle confidential information with discretion.
- Demonstrated ability to work effectively in a team environment.
Preferred Qualifications
- Experience in a recruitment or human resources environment.
- Knowledge of the Australian Defence Force and its career pathways.
- A certificate or diploma in Business Administration or a related field.
- Experience using CRM or applicant tracking systems.
