Job Description
We are seeking a highly organised and proactive AO4 Program Officer to join our team in Goulburn. This pivotal role provides essential administrative and program support, contributing to the efficient delivery of educational initiatives across the region. You will play a key part in coordinating program activities, managing documentation, and liaising with various stakeholders to ensure the smooth operation of our projects within the Department of Education.
Key Responsibilities
- Coordinate and monitor program activities, schedules, and deadlines to ensure timely delivery.
- Provide comprehensive administrative and secretarial support to program managers and team members.
- Act as a primary point of contact for internal and external stakeholders, managing inquiries and facilitating communication.
- Prepare, format, and edit reports, presentations, correspondence, and other program-related documents.
- Maintain accurate and up-to-date program documentation, records, and databases.
- Assist with tracking program budgets, expenditure, and resource allocation.
- Organise and facilitate meetings, workshops, and events, including agenda preparation and minute-taking.
- Identify and resolve administrative issues, escalating complex matters as required.
- Contribute to continuous improvement initiatives within the program support function.
Required Skills
- Demonstrated experience in an administrative support or program coordination role.
- Exceptional organisational skills with the ability to manage multiple tasks and competing priorities effectively.
- Strong written and verbal communication skills, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and collaboratively as part of a diverse team.
- Proven problem-solving capabilities and a proactive approach to work.
- Capacity to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications
- Relevant tertiary qualification (e.g., Certificate IV or Diploma in Business Administration, Project Management, or related field).
- Previous experience working within a government agency or education sector environment.
- Familiarity with NSW public service policies, procedures, and systems.
