Job Description

Are you an organized, proactive, and compassionate administrative professional looking to make a meaningful impact in regional health? Murrumbidgee Local Health District (MLHD) is seeking a dedicated AO3 Administrative Assistant to join our team in Wagga Wagga. This vital role supports the efficient operation of our regional health department, contributing directly to the health and well-being of communities across the Murrumbidgee region. As an AO3 Administrative Assistant, you will be an integral part of our dynamic team, providing essential administrative and clerical support. Your strong organizational skills, attention to detail, and ability to manage multiple tasks will be crucial in ensuring the smooth day-to-day operations of the department. This is an on-site position based in Wagga Wagga, offering a unique opportunity to work within a supportive environment and contribute to public health initiatives.

Key Responsibilities

  • Provide comprehensive administrative and clerical support to the regional health department, including managing correspondence, reports, and presentations.
  • Maintain accurate and confidential record-keeping systems, both electronic and physical.
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff, including preparing agendas and minutes.
  • Manage incoming calls and emails, redirecting inquiries and providing general information as required.
  • Assist with data entry, compilation of statistics, and preparation of routine financial documents such as requisitions and expense claims.
  • Order and maintain office supplies and equipment, ensuring adequate stock levels.
  • Act as a primary point of contact for internal and external stakeholders, demonstrating excellent customer service.
  • Support various projects and initiatives within the department as directed by senior staff.
  • Adhere to all MLHD policies and procedures, including those related to WHS, privacy, and confidentiality.

Required Skills

  • Proven experience in an administrative or clerical role, preferably within a large organization.
  • Demonstrated proficiency in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with a professional and courteous demeanor.
  • High level of attention to detail and accuracy in all work.
  • Ability to work independently and collaboratively as part of a team.
  • Discretion and ability to maintain confidentiality with sensitive information.

Preferred Qualifications

  • Certificate III or IV in Business Administration or a related field.
  • Previous experience in a health, government, or public sector environment.
  • Familiarity with medical terminology or health information systems.
  • Experience using electronic document management systems.
