Job Description

We are seeking a highly organised, proactive, and detail-oriented Chief of Staff Assistant to provide comprehensive executive-level support to a senior leader within our Macquarie Asset Management division. This pivotal role involves managing complex schedules, coordinating strategic initiatives, preparing critical communications, and ensuring the efficient operation of the executive’s office. The successful candidate will act as a critical liaison, demonstrating exceptional discretion, judgment, and the ability to thrive in a fast-paced, high-stakes environment.

Key Responsibilities

  • Manage and optimise a demanding executive calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit presentations, reports, and internal/external communications, ensuring accuracy and alignment with company standards.
  • Coordinate and track critical projects and initiatives, ensuring deadlines are met and stakeholders are informed.
  • Act as a primary point of contact and gatekeeper for the executive, triaging communications and requests effectively.
  • Organise and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Conduct research and compile information to support executive decision-making.
  • Handle confidential information with the utmost discretion and professionalism.
  • Assist with budget tracking, expense reporting, and other administrative tasks as required.

Required Skills

  • Minimum of 4 years of experience supporting C-level executives or senior leadership.
  • Exceptional organisational and time management skills with the ability to prioritise effectively.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant productivity tools.
  • Outstanding written and verbal communication skills.
  • Demonstrated ability to exercise sound judgment, discretion, and confidentiality.
  • Proactive problem-solver with a strong attention to detail.
  • Ability to work independently and as part of a team in a dynamic environment.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience within the financial services or investment banking industry.
  • Familiarity with project management principles and tools.
  • Ability to anticipate needs and act resourcefully.
