Job Description

We are seeking a highly organized and empathetic Probate Assistant to join our growing legal practice. In this vital role, you will provide comprehensive administrative and legal support to our senior lawyers in all aspects of probate and estate administration. This is an excellent opportunity for an individual with strong attention to detail and a passion for assisting clients through sensitive legal processes. The ideal candidate will be meticulous, possess excellent communication skills, and be eager to learn and grow within the legal field.

Key Responsibilities

  • Prepare and draft probate applications, letters of administration, and other estate-related documents.
  • Liaise with clients, executors, beneficiaries, and external parties (e.g., banks, superannuation funds, government bodies).
  • Manage and organize client files, ensuring all documentation is accurate and up-to-date.
  • Assist with estate asset identification, valuation, and distribution.
  • Schedule appointments, manage calendars, and coordinate meetings.
  • Conduct legal research as directed by senior lawyers.
  • Handle correspondence, phone calls, and email communications efficiently and professionally.
  • Maintain strict confidentiality of all client and firm information.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational abilities and attention to detail.

Preferred Qualifications

  • Certificate III or IV in Legal Services or a related field.

  • Familiarity with legal practice management software (e.g., Leap, Actionstep).
  • Experience specifically within probate, wills, or estate planning.
  • Knowledge of Western Australian legal procedures related to estates.
