Job Description

We are seeking a highly organised, proactive, and experienced WFH Executive Secretary to provide comprehensive administrative support to our senior leadership team. This is a crucial role within our Professional Services division, ensuring the smooth operation of executive functions while working remotely. The ideal candidate will be a self-starter with exceptional communication skills, meticulous attention to detail, and the ability to manage multiple priorities in a dynamic, fast-paced environment. This position offers the flexibility of a 100% remote work model, allowing you to contribute significantly from anywhere in Australia.

Key Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate executive travel arrangements (when necessary, though primary remote)
  • Prepare, proofread, and format confidential documents, presentations, and reports for executive review
  • Act as a primary point of contact, screening calls and emails, and directing inquiries appropriately
  • Organise and facilitate virtual meetings, including setting agendas, taking minutes, and following up on action items
  • Maintain organised digital filing systems and databases, ensuring data integrity and accessibility
  • Assist with special projects and research assignments as required by the executive team
  • Process expenses, invoices, and other financial documentation in compliance with company policies
  • Anticipate executive needs and proactively address potential issues or conflicts

Required Skills

  • Proven experience as an Executive Secretary, Executive Assistant, or similar role
  • Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Advanced organisational and time management skills
  • Excellent written and verbal communication abilities
  • High level of discretion and ability to handle confidential information
  • Strong problem-solving skills and attention to detail
  • Ability to work independently and manage priorities effectively in a remote setting

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field
  • Experience working within a professional services, consulting, or corporate environment
  • Familiarity with virtual collaboration tools (e.g., Microsoft Teams, Zoom)
  • Certification in administrative professional courses
