Job Description

We are seeking a dedicated and organized AO3 Administrative Assistant to join our Regional Health Department team in Fannie Bay, Darwin. This pivotal role involves providing comprehensive administrative and secretarial support to ensure the efficient operation of the department. The successful candidate will be a proactive individual with excellent communication skills, a strong ability to manage multiple tasks, and a commitment to supporting public health initiatives. Key Responsibilities

  • Provide administrative support to the Regional Health Department, including scheduling appointments, managing calendars, and coordinating meetings.
  • Prepare and format various documents, reports, presentations, and correspondence with accuracy and attention to detail.
  • Manage incoming and outgoing communications, including phone calls, emails, and mail, directing inquiries appropriately.
  • Maintain organized filing systems, both physical and electronic, ensuring easy retrieval of information.
  • Assist with data entry, record keeping, and database management, ensuring data integrity and confidentiality.
  • Process invoices, expense claims, and other financial documentation in accordance with departmental guidelines.
  • Order and maintain office supplies and equipment, ensuring adequate stock levels.
  • Support the coordination of departmental events, workshops, or training sessions.
  • Adhere to all departmental policies, procedures, and relevant legislative requirements.

Required Skills

  • Proven experience in an administrative support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.

Preferred Qualifications

  • Previous experience working within a government or health sector environment.
  • Knowledge of TRIM or other document management systems.
  • A certificate or diploma in Business Administration or a related field.
