Job Description
We are seeking a highly organized, proactive, and discreet WFH Executive Assistant to provide comprehensive administrative and executive support to our senior leadership team. This is a crucial role for a professional who thrives in a fast-paced, remote environment and can manage multiple priorities with exceptional attention to detail. You will be instrumental in ensuring the smooth operation of daily executive functions, allowing our top management to focus on strategic initiatives.
Key Responsibilities
- Manage complex calendars and schedule appointments, meetings, and conferences for multiple executives.
- Organize and coordinate virtual meetings, including setting up technology, preparing agendas, and distributing materials.
- Prepare, edit, and proofread various documents, presentations, and reports with a high degree of accuracy and confidentiality.
- Handle confidential information with the utmost discretion and professionalism.
- Act as a primary point of contact for internal and external stakeholders, screening calls and emails.
- Coordinate travel arrangements and itineraries (once travel resumes), including flights, accommodation, and ground transportation.
- Process expense reports and manage invoices accurately and in a timely manner.
- Conduct research and compile data to prepare comprehensive reports for executive review.
- Assist with special projects and initiatives as assigned by the executive team.
- Develop and maintain effective filing systems, both digital and physical.
- Proactively anticipate executive needs and provide anticipatory support.
Required Skills
- Proven experience (4+ years) as an Executive Assistant or in a similar high-level administrative role supporting senior management.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Microsoft Teams, Zoom).
- Excellent written and verbal communication skills, with a strong command of English grammar and spelling.
- Demonstrated ability to maintain a high level of confidentiality and exercise sound judgment.
- Strong problem-solving abilities and a proactive approach to work.
- Reliable internet connection and a dedicated, professional home office setup.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience working in a global or large corporate environment, particularly within the resources sector.
- Familiarity with project management tools and methodologies.
