Job Description
We are seeking a highly organised, proactive, and discreet Executive Assistant to provide comprehensive remote administrative support to our senior leadership team. This crucial WFH role requires an individual who can anticipate needs, manage complex schedules, and handle sensitive information with the utmost professionalism. You will be instrumental in ensuring the smooth operation of daily executive functions, allowing our top management to focus on strategic initiatives and drive business growth.
Key Responsibilities
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents for executive review.
- Organise and coordinate virtual meetings, ensuring all necessary materials are prepared and distributed in advance.
- Conduct research, compile data, and prepare reports as requested by executives.
- Handle confidential information with discretion and integrity.
- Act as a primary point of contact for internal and external stakeholders on behalf of the executives.
- Process expense reports and manage administrative budgets.
- Assist with special projects and events as required.
Required Skills
- Minimum 4 years of experience as an Executive Assistant supporting senior-level management.
- Exceptional organisational and time management skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Microsoft Teams, Zoom).
- Strong written and verbal communication skills.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- High level of initiative and proactive problem-solving abilities.
- Ability to work independently in a remote environment with minimal supervision.
Preferred Qualifications
- Experience working in the financial services industry.
- A relevant tertiary qualification (e.g., Business Administration, Office Management).
- Familiarity with project management software.
- Experience in a global or multinational corporate environment.
