Job Description
We are seeking a highly organized and detail-oriented Virtual Inbox Manager to join our remote team. This role is 100% focused on written correspondence and requires exceptional communication skills to manage high volumes of emails, messages, and other digital communications. You will be responsible for ensuring timely and professional responses, prioritizing inquiries, and maintaining an efficient and well-organized digital inbox for various internal stakeholders and external clients. This is a fully remote position, perfect for someone who thrives in an independent work environment.
Key Responsibilities
- Manage and prioritize a high volume of email and digital correspondence from multiple inboxes.
- Draft, edit, and send professional written responses to inquiries, feedback, and requests.
- Categorize, tag, and archive communications for easy retrieval and record-keeping.
- Collaborate with internal teams to gather information and ensure accurate responses.
- Identify and escalate urgent matters to appropriate personnel.
- Implement and maintain efficient inbox management systems and best practices.
- Prepare summaries and reports on inbox activity and key communication trends.
- Maintain confidentiality and data security for all correspondence.
Required Skills
- Proven experience in administrative support, customer service, or a similar role focused on written communication.
- Exceptional written communication skills, with impeccable grammar, spelling, and punctuation.
- Proficiency with email platforms (e.g., Outlook, Gmail) and CRM software.
- Strong organizational and time management abilities, with a keen eye for detail.
- Ability to work independently, prioritize tasks, and manage a workload effectively.
- High level of discretion and ability to handle confidential information.
- Reliable internet connection and a dedicated home office setup.
