Job Description

We are seeking a dedicated and organized Hospital Ward Clerk to join our team for part-time night shifts and weekend work at Dubbo Base Hospital. This vital role supports the smooth operation of our wards by providing essential administrative and clerical assistance, ensuring that patient records are maintained accurately and communication flows efficiently. The successful candidate will be a proactive individual with excellent communication skills, a strong attention to detail, and the ability to work independently during quiet periods while remaining prepared for urgent tasks.

Key Responsibilities

  • Manage patient admissions, transfers, and discharges, ensuring all necessary documentation is completed accurately and promptly.
  • Maintain and update patient medical records, charts, and information systems.
  • Act as a central point of contact for patients, families, and healthcare professionals, directing inquiries appropriately.
  • Prepare and compile patient charts, clinical forms, and other administrative documents.
  • Schedule appointments, diagnostic tests, and procedures as required by medical staff.
  • Answer telephones, take messages, and manage general ward communications.
  • Order and maintain an adequate supply of stationery and other ward-related materials.
  • Assist with the coordination of patient transport services.
  • Ensure the ward environment is tidy and organized at the ward clerk station.
  • Adhere to all hospital policies, procedures, and patient confidentiality guidelines.

Required Skills

  • Proficiency in administrative and clerical tasks.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work effectively in a fast-paced healthcare environment.
  • Competency in using standard office software (e.g., Microsoft Office Suite).
  • Ability to maintain strict confidentiality.
  • Demonstrated ability to work independently and as part of a team.
  • Reliability and flexibility to work night shifts and weekends.

Preferred Qualifications

  • Previous experience in a hospital or healthcare administrative role.
  • Knowledge of medical terminology.
  • Experience with patient management systems (e.g., electronic medical records).
  • A current First Aid Certificate.
