Job Description
We are seeking a highly motivated and experienced AO5 Senior Admin Officer to join our team within the Justice & Attorney General portfolio in Fremantle. This pivotal role involves providing comprehensive administrative and operational support to ensure the efficient functioning of our office. You will be responsible for managing complex administrative tasks, coordinating schedules, preparing crucial documents, and acting as a key point of contact for internal and external stakeholders. The successful candidate will demonstrate exceptional organizational skills, a proactive approach, and a strong commitment to supporting justice initiatives within Western Australia. Key Responsibilities
- Provide high-level administrative support to senior management and team members, including diary management, travel arrangements, and meeting coordination.
- Prepare, review, and edit confidential documents, reports, correspondence, and presentations with accuracy and attention to detail.
- Manage and maintain records and information systems in compliance with departmental policies and government regulations.
- Act as a primary point of contact for internal and external inquiries, providing accurate information and exceptional customer service.
- Coordinate and facilitate various projects and initiatives, ensuring timely completion and adherence to project plans.
- Assist with budget monitoring, expense processing, and procurement activities.
- Oversee office supplies, equipment, and general office maintenance, ensuring a productive work environment.
- Mentor and provide guidance to junior administrative staff, fostering a collaborative team atmosphere.
- Develop and implement administrative procedures to improve efficiency and workflow.
Required Skills
- Proven experience in a senior administrative or executive assistant role, preferably within a government or legal environment.
- Exceptional organizational and time management skills, with the ability to prioritize competing demands effectively.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills, including the ability to draft professional correspondence and reports.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent interpersonal skills, with the ability to build rapport and work collaboratively with diverse stakeholders.
- Proactive problem-solving abilities and a strong attention to detail.
Preferred Qualifications
- Tertiary qualification in Business Administration, Office Management, or a related field.
- Previous experience working within the Western Australian public sector.
