Job Description
We are seeking a highly organised and proactive Public School Admin Assistant to provide essential education support within our school community. This role is crucial in ensuring the smooth daily operation of our school office, supporting both staff and students. The successful candidate will be the first point of contact for many visitors and inquiries, playing a vital role in maintaining a positive and efficient school environment. You will perform a variety of administrative tasks, provide support to teachers and leadership, and assist with student-related administrative duties.
Key Responsibilities
- Manage front office reception duties, including greeting visitors, answering phone calls, and responding to email inquiries.
- Provide administrative support to the school principal, deputy principals, and teaching staff.
- Maintain accurate student records, including enrolments, attendance, and pastoral care information.
- Assist with school communication, including drafting notices, newsletters, and managing digital communication platforms.
- Handle incoming and outgoing mail, manage office supplies, and maintain an organised filing system.
- Process financial transactions, including student fees and excursion payments, and assist with basic bookkeeping.
- Coordinate meeting schedules, prepare agendas, and take minutes as required.
- Support the organisation of school events, excursions, and parent-teacher interviews.
- Adhere to all school policies and procedures, including those related to child safety and data privacy.
- Provide general support to students, parents, and staff, ensuring a welcoming and supportive atmosphere.
Required Skills
- Proven experience in an administrative or office support role, preferably within an educational setting.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with school management systems (e.g., Compass, SEQTA).
- Strong organisational and time management skills, with the ability to prioritise tasks effectively.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- A valid Working With Children Check (WWCC) or willingness to obtain one upon employment.
- Ability to work effectively both independently and as part of a team.
Preferred Qualifications
- Certificate III or IV in Business Administration or a related field.
- Experience working in a school or public sector environment.
- Knowledge of Western Australian public education policies and procedures.
