Job Description
As the Citizenship Ceremony Coordinator, you will play a pivotal role in welcoming new citizens to Australia within the Coffs Harbour community. This position involves meticulous planning, coordination, and execution of citizenship ceremonies, ensuring they are memorable, respectful, and compliant with national guidelines. You will liaise with various stakeholders, including the Department of Home Affairs, community groups, and local dignitaries, to deliver seamless events. Your organizational skills and attention to detail will be crucial in managing logistics, communications, and administrative tasks associated with these significant community events. Key Responsibilities
- Plan, organize, and execute all aspects of citizenship ceremonies in Coffs Harbour, adhering to official guidelines.
- Coordinate with the Department of Home Affairs to manage ceremony schedules, attendee lists, and documentation.
- Liaise with the Mayor, Councillors, community leaders, and other dignitaries regarding their participation.
- Manage venue bookings, catering, audio-visual requirements, and event setup/pack-down.
- Prepare and distribute invitations, programs, certificates, and other ceremony materials.
- Provide clear and professional communication to new citizens regarding ceremony details and requirements.
- Oversee administrative tasks including record-keeping, reporting, and budget tracking related to ceremonies.
- Ensure all ceremonies are conducted with dignity, respect, and cultural sensitivity.
- Act as the primary point of contact for all citizenship ceremony inquiries.
Required Skills
- Proven experience in event coordination, administration, or project management.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills (written and verbal).
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Demonstrated ability to manage multiple tasks and deadlines effectively.
- Understanding of cultural diversity and sensitivity.
Preferred Qualifications
- Tertiary qualification in event management, public relations, administration, or a related field.
- Experience working within a local government or public sector environment.
- Knowledge of Australian citizenship processes and protocols.
- Current NSW Class C Driver's License.
