Job Description
We are seeking a dedicated and organized individual to join our team in Cairns as State Emergency Service (SES) Support. This ongoing full-time position is critical in providing administrative and logistical assistance to the local SES unit, enabling them to focus on their primary mission of protecting life and property. You will be an integral part of supporting volunteers and operational staff, ensuring resources are managed efficiently, and contributing to the preparedness and response capabilities of the SES within the Cairns region. This role requires a proactive approach, excellent communication skills, and a commitment to public safety.
Key Responsibilities
- Provide comprehensive administrative support to the local SES unit, including managing correspondence, records, and databases.
- Assist with the coordination of training sessions, meetings, and community engagement events.
- Manage and maintain equipment inventories, ensuring readiness for deployment.
- Facilitate communication between SES volunteers, staff, and external stakeholders.
- Process requisitions, invoices, and expense claims in accordance with government financial procedures.
- Support the preparation of reports, briefs, and presentations related to SES activities and outcomes.
- Assist with volunteer recruitment, onboarding, and recognition programs.
- Undertake general office duties as required to ensure smooth operational flow.
- Maintain strict confidentiality and adhere to all relevant government policies and procedures.
Required Skills
- Proven experience in an administrative or support role, preferably within a government or emergency services context.
- Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
- Excellent written and verbal communication skills, including report writing.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work effectively both independently and as part of a team.
- Demonstrated commitment to public safety and community service.
- Valid Australian Driver's License.
Preferred Qualifications
- Previous experience working with volunteers or in a volunteer-based organization.
- Understanding of the Queensland State Emergency Service (SES) structure and operations.
- Qualifications in Business Administration or a related field.
- Experience with government procurement and financial systems.
