Job Description

We are seeking a highly organised and community-focused Citizenship Ceremony Coordinator to join our dedicated team. This vital role is responsible for the meticulous planning, coordination, and execution of Australian Citizenship Ceremonies, which are profoundly significant events for our new citizens. You will ensure a welcoming, respectful, and memorable experience for all participants, working closely with various stakeholders, including the Department of Home Affairs, community groups, and local dignitaries. This position requires exceptional administrative skills, attention to detail, and a passion for community engagement.

Key Responsibilities

  • Plan, organise, and execute all aspects of Australian Citizenship Ceremonies, including scheduling, venue booking, and logistical arrangements.
  • Liaise effectively with the Department of Home Affairs to manage ceremony schedules, attendee lists, and documentation.
  • Coordinate the attendance and participation of council representatives, elected officials, and other dignitaries.
  • Prepare and distribute ceremony materials, including invitations, certificates, and information packs.
  • Manage ceremony budgets, procure necessary resources, and process invoices.
  • Provide professional and empathetic support to new citizens and their families throughout the ceremony process.
  • Ensure compliance with all relevant government guidelines and protocols for citizenship ceremonies.
  • Maintain accurate records and databases related to ceremonies and participants.
  • Assist in promoting community engagement initiatives related to civic participation and multiculturalism.
  • Conduct post-ceremony evaluations to identify areas for improvement and gather feedback.

Required Skills

  • Proven experience in event coordination, administration, or project management.
  • Excellent organisational skills with a strong ability to multitask and manage competing priorities.
  • Superior written and verbal communication skills, with the ability to engage diverse groups of people.
  • High level of attention to detail and accuracy in all tasks.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and database systems.
  • Demonstrated ability to work independently and collaboratively within a team environment.
  • Understanding of and commitment to customer service excellence.
  • Cultural sensitivity and the ability to work effectively with people from diverse backgrounds.

Preferred Qualifications

  • A tertiary qualification in event management, public relations, business administration, or a related field.
  • Previous experience working within local government or a public service environment.
  • Knowledge of Australian citizenship processes and protocols.
  • Experience in managing relationships with external stakeholders and government agencies.
