Job Description
We are seeking a highly organized and proactive Production Coordinator to join our vibrant team in Rockhampton. This pivotal role supports the seamless execution of our film and commercial projects, ensuring all logistical and administrative aspects run smoothly from pre-production through post-production. The ideal candidate will be a meticulous planner, an excellent communicator, and possess a strong understanding of the production workflow, capable of juggling multiple tasks in a fast-paced environment. You will be instrumental in managing schedules, budgets, crew, and resources, contributing directly to the success of our diverse slate of productions.
Key Responsibilities
- Assist producers in developing and managing production schedules, budgets, and timelines.
- Coordinate logistics for shoots, including location scouting, travel arrangements, accommodation, and catering.
- Manage crew hiring, contracts, payroll, and timesheet submissions.
- Procure equipment, supplies, and services, negotiating rates with vendors.
- Maintain accurate production records, including call sheets, production reports, and expense tracking.
- Facilitate communication between departments, ensuring all team members are informed and aligned.
- Oversee petty cash and expense reconciliation, ensuring compliance with budget guidelines.
- Handle all necessary permits, clearances, and insurance documentation.
- Provide on-set support as required, troubleshooting issues and ensuring smooth operations.
- Assist with post-production coordination, including organizing deliverables and managing asset transfers.
Required Skills
- Proven experience as a Production Coordinator or similar role in film or commercial production.
- Exceptional organizational and time management skills.
- Strong proficiency in budgeting software and project management tools (e.g., Movie Magic Budgeting/Scheduling, Google Suite, Microsoft Office).
- Excellent communication, negotiation, and interpersonal abilities.
- Ability to work under pressure, prioritize tasks, and meet tight deadlines.
- Thorough understanding of the production lifecycle, from development to delivery.
- Valid driver's license and ability to travel as needed.
Preferred Qualifications
- Bachelor's degree in Film Production, Media Studies, or a related field.
- Familiarity with Queensland's film industry landscape and local vendor networks.
- Experience with health and safety protocols on set.
- First Aid certification.
- Knowledge of regional production incentives and grant application processes.
