Job Description
We are seeking a highly organized and detail-oriented Virtual Scheduling Coordinator to join our professional team. This is a fully remote position, offering the flexibility to work from anywhere within Australia. The successful candidate will be responsible for managing complex calendars, coordinating meetings, and providing comprehensive administrative support to senior professionals across various departments. You will play a crucial role in ensuring efficient communication and operational flow, utilizing advanced scheduling software and strong communication skills to manage demanding schedules.
Key Responsibilities
- Manage complex calendars and schedule appointments for multiple senior professionals, resolving scheduling conflicts proactively.
- Coordinate and organize virtual meetings, including setting up conference calls, preparing agendas, and distributing relevant materials.
- Communicate effectively with internal and external stakeholders to confirm appointments and provide necessary information.
- Handle confidential information with discretion and professionalism.
- Prepare and distribute meeting minutes and follow-up on action items.
- Assist with other administrative tasks as needed to support the professional team.
- Utilize CRM and project management tools to track schedules and deliverables.
Required Skills
- Minimum of 2 years of experience in an administrative or scheduling role.
- Proven proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to work independently and manage multiple priorities in a fast-paced virtual environment.
- Demonstrated ability to maintain confidentiality and exercise discretion.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience with advanced scheduling software (e.g., Calendly, HubSpot Meetings, Microsoft Bookings).
- Previous experience working in a professional services or consulting environment.
- Familiarity with virtual collaboration tools (e.g., Microsoft Teams, Zoom).
