Job Description
Queensland Health is seeking a highly organised and proactive Public Sector Executive Assistant to provide comprehensive administrative support to senior executives within our Gladstone office. This pivotal role ensures the efficient operation of the executive office, contributing directly to our mission of delivering exceptional healthcare services to the community. The ideal candidate will possess a keen eye for detail, strong communication skills, and a proven ability to manage complex tasks in a fast-paced public sector environment. Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate travel arrangements for senior executives.
- Prepare, review, and edit confidential correspondence, reports, presentations, and other documents to a high standard.
- Act as a primary point of contact for internal and external stakeholders, screening calls and managing inquiries with professionalism and diplomacy.
- Organise and facilitate meetings, including preparing agendas, distributing materials, taking accurate minutes, and tracking action items to ensure timely completion.
- Undertake research, compile data, and prepare briefing materials for executive decision-making, ensuring accuracy and relevance.
- Maintain organised electronic and physical filing systems, ensuring document accessibility, security, and confidentiality.
- Assist with project coordination and follow-up on delegated tasks to ensure timely completion and adherence to deadlines.
- Process expenses, invoices, and other financial documentation in accordance with public sector guidelines and procedures.
- Manage office supplies and equipment, ensuring the executive office is well-stocked and operational.
Required Skills
- Minimum of 3 years of executive administrative support experience, preferably within the public sector or a large complex organisation.
- Exceptional organisational and time management skills with the ability to prioritise effectively under pressure and manage multiple tasks.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint) and other relevant business software.
- Strong written and verbal communication skills, with excellent attention to detail and the ability to articulate complex information clearly.
- Proven ability to maintain confidentiality and exercise discretion, judgment, and initiative in handling sensitive information and situations.
- Demonstrated proactive problem-solving abilities and a self-starter attitude, with a capacity to work independently and as part of a team.
- High level of professionalism and integrity.
Preferred Qualifications
- Diploma or Advanced Diploma in Business Administration or a related field.
- Experience with public sector financial systems and electronic record management practices.
- Familiarity with Queensland Government policies, procedures, and departmental structures.
- Certification in administrative professional training.
