Job Description

We are seeking an exceptionally talented and highly organized Executive Assistant to provide comprehensive administrative and executive support to our senior leadership team at our Corporate Head Office in Armidale. This is a pivotal role that demands discretion, initiative, and a proactive approach, offering ‘top rates’ for an individual who consistently delivers outstanding results. The successful candidate will be instrumental in ensuring the smooth and efficient operation of the executive office, managing complex schedules, communications, and projects with precision and professionalism. This role is perfect for an experienced EA looking for a challenging and rewarding position within a leading financial institution.

Key Responsibilities

  • Manage complex calendars and schedule appointments, meetings, and conferences for executives.
  • Coordinate extensive domestic and international travel arrangements, including itineraries, flights, accommodation, and ground transportation.
  • Prepare, edit, and proofread correspondence, presentations, reports, and other documents.
  • Act as a primary point of contact, screening and directing phone calls, emails, and visitors.
  • Organize and facilitate executive meetings, including preparing agendas, distributing materials, recording minutes, and tracking action items.
  • Handle confidential information with utmost discretion and integrity.
  • Assist with project coordination, research, and data compilation as required.
  • Process expense reports, invoices, and other financial documentation.
  • Anticipate executive needs and proactively address potential issues or conflicts.
  • Maintain an organized and efficient executive office environment.

Required Skills

  • Minimum 5 years of experience as an Executive Assistant supporting senior-level executives.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Superior written and verbal communication skills with impeccable grammar and attention to detail.
  • Proven ability to maintain confidentiality and exercise sound judgment.
  • Strong interpersonal skills with a professional and approachable demeanor.
  • Proactive, self-motivated, and capable of working independently with minimal supervision.
  • Demonstrated problem-solving abilities and a resourceful mindset.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
